Terms and conditions

We want everyone who attends YAMM to have a positive experiences, including students, parents/guardians, tutors, volunteers etc. With this in mind, we've created a 'family contract' which we ask all families to sign up to before starting lessons at YAMM. 

 

Family Contract

 

This contract is an agreement between Young Arbury Music Makers (YAMM) and families of students attending YAMM. 

 

Definitions:

  • YAMM: Young Arbury Music Makers

  • Parents: The parents or legal guardians of the children attending YAMM

  • Participants: All students and children attending YAMM
     

  1. Fees: YAMM is committed to providing affordable musical opportunities to local children and as such we make every effort to contain our costs. Occasionally it is necessary to increase our fees to meet an increase in outgoings (such as rent & insurance etc). Parents will be made aware in advance of any upcoming increase in fees.   2. Invoicing & Payments: Music lessons at YAMM are invoiced six weeks in advance of term starting. Bills are prepared by the Treasurer and emailed to Parents. Payments are by bank transfer only; account details are provided on every invoice. 
     

  3. Ongoing enrollment: Once a Participant has been signed up for lessons, they will be automatically enrolled for lessons every subsequent term until notice is given.
     

  4. Terminating lessons: Parents are required to give six weeks notice for termination of lessons. Notice should be given in writing via email to friendsofyamm@outlook.com. It is not sufficient to verbally inform your child’s teacher. If insufficient notice has been given, Parents will be liable to pay the fee for up to six weeks of lessons. 
     

  5. Respect of premises and property: YAMM operates in the premises of Mayfield Primary School. All Parents and Participants are required to respect the premises and property of Mayfield Primary School, including all YAMM property, and: 

    1. Leave school classrooms and all school property clean, in good working order and returned to how they were found

    2. Parents must accompany all primary aged Participants from the sign in desk to their lesson, and back again afterwards

    3. All Participants, Parents and anyone else accompanying them must sign in at the front desk on arrival for safety purposes

    4. All children, including siblings of Participants, should be supervised at all times - either by a Parent or Tutor

    5. Not use any school equipment or write on any whiteboards etc.

    6. Only classrooms being used for lessons should be entered by Participants and Parents. All other rooms are out of bounds

    7. Not interfere in any way with other organisations that also use Mayfield Primary School premises.

    8. Parents assume full financial responsibility for any property damage caused by the Participant and shall reimburse YAMM or Mayfield Primary School for the replacement cost or repair of such damage upon demand. 
       

  6. Absence of student: If a student cannot attend a lesson their family is required to let the YAMM co-ordinator know as soon as possible before the lesson is due to take place. Parents are still liable to pay for lessons where a student does not attend. 
     

  7. Absence of teacher: If a teacher is absent the cost of the lesson is refunded. This refund will be automatically applied as a credit against the family’s next invoice. Occasionally a teacher may arrange a catch-up lesson with the student at another time, in which case the original missed lesson will not be refunded. Catch-up lessons are entirely at the discretion of the teacher. 
     

  8. Additional lessons and exam preparation: Occasionally there may be a need for additional lessons, e.g. for exam preparation / tutor accompaniment. These are considered a private arrangement between the Teacher, Family, and Accompanist (where relevant). The prices and payments for these additional lessons are not covered by YAMM fees.
     

  9. Desk Rota: YAMM is required to operate a reception desk during lessons with at least two adults in attendance. Fulfilling the desk rota requirement is a pre-condition for students to attend YAMM. Each YAMM family is therefore required to have one adult contribute a minimum of 30 minutes per student, per month. The YAMM Desk Duty Coordinator will organise a desk duty rota each term - Families will be offered the choice of date and times, but in the event a Family does not choose an appropriate number of slots, the YAMM Desk Duty Coordinator will allocate them to Families as needed. 
     

  10.  Communication: YAMM is not a full-time organisation and is mainly run by volunteers and as such, the primary method of communication is email. Please ensure any important information is communicated via email:

    1. Requests for timetable changes, notice of termination of lessons, requests for change of teacher or instrument etc: friendsofyamm@outlook.com

    2. Queries about billing: yamm-treasurer@outlook.com 

    3. Complaints. Please send any complaints to our chair and musical director: yamm-md@outlook.com
       

  11.  Liability for damage: During music lessons it may become necessary for the teacher to tune or adjust the student’s musical instrument or make small repairs, such as replacing guitar strings. YAMM and its teachers accept no liability for any inadvertent damage caused to instruments during lessons. Families are requested to let YAMM know in advance if they do not wish the teacher to tune or adjust their child’s instrument.
     

  12. Agreement: By completing the sign up form on the website, you are accepting the YAMM terms and conditions as laid out in this document.
